What we collect
Information you give us
When you fill in a form on this site (for example to request a free SEO audit, a proposal or a consultation) we collect your name, email address, phone number and country code, your website address and anything you write about your goals or requirements. If you contact us by email, phone, WhatsApp, Microsoft Teams or live chat, we receive the details you share in that conversation.
Information collected automatically
When you visit the site we and our service providers collect technical information such as your IP address, browser and device type, the pages you view, how you arrived at the site (including campaign tags and advertising click identifiers in the page address) and how you use the site. This is collected through cookies and similar technologies described below.
How we use your information
- To reply to your enquiry, prepare the audit, proposal or quote you asked for, and arrange calls.
- To provide our services if you become a client, and to manage our relationship with you.
- To understand which pages, campaigns and adverts bring enquiries, so we can improve the site and our marketing.
- To protect the site and our forms from spam, abuse and security threats.
- To meet our legal and accounting obligations.
We do not sell your personal information. We do not send names, email addresses, phone numbers or form messages to our analytics tools.
Legal bases (UK and EEA visitors)
Where UK or EU data protection law applies, we rely on: taking steps at your request before entering into a contract (answering your enquiry); our legitimate interests in running and improving our business and keeping the site secure; your consent, where the law requires it, for non-essential cookies and similar technologies; and compliance with legal obligations.
Cookies and third-party services
The site uses the following services, which may set cookies or receive information about your visit:
- Google Tag Manager and Google Analytics 4 (Google LLC): to measure visits and how the site is used.
- Google Ads conversion tracking and call tracking: to measure which adverts lead to enquiries and calls.
- Google reCAPTCHA: to protect our forms from spam. Its use is subject to the Google Privacy Policy and Terms of Service.
- Tawk.to: our live chat. If you use the chat, the messages and details you share are stored by Tawk.to for us.
- Cloudflare and Wordfence: to deliver the site securely and block malicious traffic. These process IP addresses and request details.
- WhatsApp, Microsoft Teams, Google Maps and social media links: if you click these, the relevant provider handles your information under its own privacy policy.
You can block or delete cookies in your browser settings. Blocking some cookies may stop parts of the site, such as the forms’ spam protection or live chat, from working. You can opt out of Google Analytics with the Google Analytics opt-out browser add-on and manage ad personalisation at Google Ad Settings.
Who we share information with
We share personal information only with the service providers listed above and with providers that host our website and email, each acting on our behalf, and where the law requires it. Our team in India handles enquiries and client work.
International transfers
We are based in India, and some of our service providers are based in the United States and other countries. Your information may therefore be processed outside the country you live in. Where the law requires it, we rely on appropriate safeguards for these transfers.
How long we keep information
We keep enquiry details for as long as we need them to respond to you and to follow up on that enquiry, and client records for as long as the business relationship lasts plus any period required for legal, tax or accounting purposes. Analytics data is kept according to the retention settings of the tools listed above. You can ask us to delete your enquiry at any time.
Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, ask us to delete it, object to or restrict how we use it, withdraw consent you have given, and receive a copy of it. Residents of India have rights under the Digital Personal Data Protection Act, 2023, including the right to nominate another person and to have grievances addressed. Residents of some US states may have similar rights under state law.
To use any of these rights, email [email protected]. We will respond within the time the law requires. If you are not satisfied with our response, you can complain to your local data protection authority.
Security
We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS), firewalls and restricted access. No method of transmission or storage is completely secure.
Children
Our services are for businesses. The site is not aimed at children, and we do not knowingly collect information from anyone under 18.
Recruitment
We do not use messaging apps or request payments at any stage of recruitment. SEOTonic contacts candidates only from official email addresses.
